How the Agent Works
The Delegated AI agent is an autonomous system that runs continuously in the background. It uses a heartbeat system to stay alive and responsive:
- Heartbeat poll — Every 30 seconds, the agent checks for new tasks, messages, and events
- Task evaluation — Scans the TODO column and scores tasks by priority
- Execution — Picks up the highest-priority task and works on it
- Reporting — Updates the board, posts progress, sends notifications
- Proactive checks — Between tasks, monitors email, calendar, and integrations
Always running: Unlike chatbots that only respond when you message them, the Delegated agent is proactive. It works even when you're not looking at the dashboard.
What the Agent Can Do

Proactive Behavior
The agent doesn't just wait for tasks — it actively looks for things to do and issues to flag:
Automatic Checks
- Email monitoring — Scans your inbox periodically and alerts you to important messages
- Order monitoring — Watches for new Shopify orders and inventory changes
- Calendar awareness — Reminds you of upcoming events and deadlines
- Health checks — Monitors integrations and alerts you if something breaks
Smart Suggestions
Based on your business data, the agent may proactively suggest:
- Products that need updated descriptions
- Ad campaigns that should be refreshed
- Emails that need a response
- Tasks that are overdue or approaching deadlines
Tip: The more integrations you connect (Shopify, email, social), the more context the agent has and the more useful its proactive suggestions become.
Agent States
The agent is always in one of three states, visible on the dashboard:

| 🟡 Thinking | Slow pulse | Evaluating tasks, running proactive checks, or processing a chat message. |
| ⚪ Standby | Static dot | No pending tasks. The agent is idle but monitoring for new work via heartbeat. |
Context & Memory
The agent maintains context across sessions using:
- Session state — Tracks current work so it can resume after restarts
- Brand documents — Your uploaded SOPs, brand guidelines, and reference materials
- Store data — Product catalog, order history, and customer insights from Shopify
- Conversation history — Previous chat messages for conversational context
- Task history — Completed tasks inform future work quality
Note: The agent's context window is limited. For best results, keep task descriptions clear and concise. Upload detailed reference materials as documents rather than pasting them into chat.
